Dear DD: Where Outlook Stores Mail

On the train, we were talking about how to determine where Outlook stores email messages when it auto archives them. To determine where they are stored on your particular system, use the following procedure:
• Log into Outlook. The main screen then appears.
• At the top of that screen, hover the mouse pointer over the “Tools” menu item and primary click and hold it. The Tools drop-down menu is then displayed.
• Then, while continuing to hold down the primary mouse button, move the mouse pointer down to the ‘Options’ item, and release the mouse button. The Options pane window appears.
• Along the top of this new window, you should see two rows of file folder style tabs.
• Find the tab that says “AutoArchive” and click it with the primary mouse button. The contents of the Options window change and show the parameters for the AutoArchive process.
• Then, look about one third the way down from the top of the Options window. Locate a field entitled: Default Archive File. In the edit box just underneath the title, you should see a file path such as “C:My Documentsarchive.pst”.
Now, this is the file in which the archived messages are being stored whenever Outlook performs the AutoArchive function for you. However, in order to actually view and manipulate these messages, you need to set up an Outlook service that accesses this file. Let me know if you need a procedure for doing that.
